Adding a patient is a four-step form: Personal information, Contact details, Insurance & billing, then Review. The first two steps have required fields. The last two don't, so a record saved with only the first two is complete enough to book and invoice against.

Press Add patient on your dashboard, or from the patient list.

Personal information

Required: a first name, a last name, and a date of birth. A date more than 150 years ago, or in the future, is refused.

Optional: a title, gender, a photo, and identity numbers such as a national ID or passport number.

Contact details

At least one contact point, and one of them has to be an email address. A phone number on its own won't pass this step.

Email is how Practor recognises the same person twice, how a patient receives their portal invitation, and where appointment confirmations are sent.

You can add as many phone numbers and addresses as the record needs, and set a preferred language for what Practor sends them.

Insurance & billing

The scheme, plan and member number, and whose policy it is if the patient isn't the main member. The same questions sit on the record afterwards, where the cover can also be checked with the insurer: Record how a patient's visits are paid for has them.

Nothing on this step is required. What you enter here is used when you invoice, so it isn't looked up again at that point.

Review

Shows everything entered so far before the record is saved.

The date of birth carries through to insurance claims, where a mismatch with the scheme's own record is a rejection.

Let the patient fill in the rest

On the patient's record, Invite to portal sends them a link. They complete their own history, allergies and insurance on their own device, and it saves straight to their record. The control becomes Resend invite afterwards.

The record shows where they've reached: Invited, Request pending, Bookings only, or Portal linked.

Duplicates are caught after you save

Practor doesn't stop you creating a record for someone who already exists. It checks after the record is saved.

The check starts from a contact point: an email address, a phone number, or an identity number the two records share. Find one, and the name and date of birth decide whether the pair is flagged. Two records with none of the three in common are never compared, however alike the names are.

A scan runs nightly to catch pairs made before a matching rule could see them.

A flagged record shows a banner reading This chart may be the same person as and the other patient's name, with the reason it matched. Review and merge on that banner opens the comparison, where you either merge the two or dismiss the pair as different people. Merge duplicate in the record's own action menu opens the same screen.

To see every flagged pair at once, open Patients, press the ⋯ beside Add patient, and choose Possible duplicates.
