Scheduling and online booking
Patients book themselves into your diary from a link, Practor sends the reminders, and when someone cancels, Practor offers the time to your waitlist, so your day stays full without anyone phoning round. Scheduling is free for everyone in the practice.
A cancellation, filled from the waitlist.
- 1 Marike cancels her 10:00 Online or through reception, and the time is free again.
- 2 A minute later Practor checks the time is still free.
- 3 The waitlist gets the offer Practor offers the time to the first patient on the waitlist whose days and times match, by email, and by text if they've agreed to messages.
- 4 Lerato accepts She's booked and off the waitlist, and nobody at the practice had to phone round.
Patients book, move and cancel online
Each practitioner has one booking page with their open times. Anyone with the link can book, with no account and no password, and the page only shows times that are still free.
- You decide what gets confirmed Confirm every booking straight away, or approve each request first. If nobody answers a request before the appointment time, the request expires and Practor emails the patient.
- Patients move their own appointments Online, up to 24 hours before, or whatever cut-off you set. Past that, Practor asks them to phone you. They can still cancel late, and Practor marks the cancellation late so you know.
- A full diary has a waitlist Patients join from the booking page and tell you which days, times and notice suit them. When a time opens up, Practor offers the time to the waitlist, or you can offer one yourself or move someone up.
Practor sends the reminders
Nobody at the desk types a reminder. Each patient agrees to reminders first, and Practor can ask them by text. With business hours on, a reminder due at night waits until you open.
Each text costs R0.50. In-app notices and email are free.
- In-app notice In their patient portal 2 days before
- Email Only if the notice is unread 30 minutes later
- Text Only if both are still unread The day before
The diary
- Book in a click
- Click an empty slot to book an appointment, or drag down the grid for a longer one. Appointments can repeat daily, weekly, monthly, yearly or every weekday.
- A clash warns but never blocks
- Practor tells you the time is already taken and lets you go ahead with Schedule anyway. Drag an appointment to a new time, and Practor snaps the appointment to the nearest 15 minutes.
- Your hours become slots
- Set the days and hours you see patients and how long an appointment runs, from 15 minutes to two hours. If you block out a morning, nobody can book into that time.
- Reception sees every diary
- A practice support profile sees every practitioner's diary without being invited. Practitioners share their own diary with a colleague as view only, can edit or full access.
When someone cancels, Practor fills the time from your waitlist, and nobody has to phone round. The diary, online booking and the waitlist are free for everyone in the practice.
Questions practices ask
Can patients book online without an account?
Yes. Anyone with your booking link can book, with no sign-in and no invitation. Each practitioner turns public booking on for their own schedule, and you can put the link on your website or send the link to a patient. Turn on online booking
Can I approve bookings before they are confirmed?
Yes, and approving first is the default. Each request waits for someone at the practice to say yes. If nobody answers before the appointment time, the request expires and the patient gets an email. You can switch to confirming bookings straight away instead.
How late can a patient cancel or move an appointment?
You choose: any time, or 2, 12, 24 or 48 hours before, with 24 hours as the default. Past the cut-off, Practor asks the patient to phone the practice to move an appointment. They can still cancel, and Practor marks the cancellation late.
What happens when a patient cancels?
With the waitlist on, Practor waits a minute, checks the time is still free and offers the time to the first patient on the list whose days and times match, by email, and by text if they've agreed to messages. They have 15 minutes to accept, or however long you set, from 5 minutes to 24 hours. How the waitlist works
Does Practor stop double bookings?
Online, yes: anything on any of your calendars makes that time busy, so nobody can book over that time. In the diary itself a clash warns you and lets you book anyway, because sometimes you mean to.
How do appointment reminders work?
Practor texts a patient once, 1, 2, 4, 12, 24 or 48 hours before the appointment, after they've agreed to reminders. Patients with a portal account get an in-app notice first, then an email, and a text only if neither has been read. Each text costs R0.50; notices and email are free. Send appointment reminders
Do patients get to rate their visit?
Two hours after an appointment marked attended, Practor asks the patient four short questions. Only the practice owner sees the answers, nothing is published, and Practor flags a low score for you to follow up.
What does scheduling cost?
The diary, online booking and the waitlist are free for everyone in the practice, with no seat charge. You pay R0.50 for each reminder text; in-app notices and email reminders are free. See every rate
