Invite your team
Send an invitation, and set the two separate things that decide what a colleague can see: their role and their profile type.
Two separate things decide what a colleague can do in Practor. Their role controls what they can change about the practice. Their profile type controls which parts of the product they see at all. Mixing the two up is the usual reason someone has access you didn't expect, or is missing access you thought you'd given.
Send an invitation
Go to Settings → Team, enter the person's email address, choose Admin or Member, and press Invite. Only an owner or an admin can do this.
The link lasts seven days. Until it's used, the invitation sits under Pending invitations, where you can resend or revoke it.
Your colleague signs in with that address, answers the first two onboarding questions, and joins your practice. They never create a practice of their own. See Set up your practice for what those questions look like.
What each role can do
| Member | Admin | Owner | |
|---|---|---|---|
| Patients, appointments, invoices and claims | Yes | Yes | Yes |
| Invite, remove, and change roles | No | Yes | Yes |
| Subscription, plan and payment methods | No | Yes | Yes |
| Sign-in security for the practice | No | Yes | Yes |
| Billing profile | No | No | Yes |
Role governs the practice, not the day's work. A member has the same access to patients, the calendar and billing as an owner does. What they can't do is change how the practice itself is set up.
One practice-wide setting does narrow what a practitioner sees, and it isn't a role. Settings → General → Dashboard settings has Allow practitioners to view billing data: with it off, a practitioner's home page leaves out the outstanding-invoices tile. It doesn't close the Billing section, and it doesn't apply to a practice support profile.
Note
There's one owner, and the role can't be handed over from this screen. Owners can't remove themselves or leave the practice, and nobody can change an owner's role.
What profile type changes
Your colleague chooses this during onboarding, when Practor asks how they'll use it. It can't be changed afterwards.
| They chose | Profile type | What appears in their sidebar |
|---|---|---|
| I treat patients | Practitioner | Dashboard, Patients, Calendar with Availability under it, Messages, Notes, Billing with Invoices and Insurance claims under it |
| I work at a practice | Practice support | Dashboard, Patients, Calendar, Billing with Invoices under it |
Front desk appears for both once the practice turns it on.
Practice support is the right answer for reception, admin and practice managers. It leaves out clinical notes and patient messaging, which are the two surfaces that carry treatment detail.
Important
Someone who treats patients and also runs the practice needs I treat patients plus the Owner or Admin role. Choosing practice support to get the admin powers leaves them without Notes, and it can't be undone.
Change a role
On the member's row in Settings → Team, pick a different role from the dropdown. It applies on their next page load.
The dropdown offers Member and Admin. An owner's own row shows Owner and won't open, because ownership isn't handed over from this screen.
You can't change the owner, and you can't change your own role. Both controls are greyed out rather than hidden, so you can see the role without being able to alter it.
Remove someone
Press the ✕ at the end of their row. You can't remove the owner, and you can't remove yourself.
Their access to this practice stops on their next request. They stay signed in to their own Practor account, which they may also be using as a patient or at another practice, so removing someone here doesn't end their sessions.
Their name stays on everything they created. A clinical record has to keep its author, and an audit trail that loses names stops being an audit trail.
Give everyone their own login rather than sharing one. That trail is what proves who opened a record.
